Meeting spaces for WOC-related events

WOC2014 has reserved meeting spaces inside the congress venues (Tokyo International Forum and Imperial Hotel Tokyo) from Tuesday, April 1 through Sunday, April 6, 2014, for exhibitors and related group events.

Notes: This meeting space reservation service is applicable to meeting rooms in Tokyo International Forum and the Imperial Hotel Tokyo only. If you would like to use meeting rooms in any other hotel, please contact the hotel directly to inquire about meeting reservations.

How to request a meeting space

  • Click on the ‘Request a Meeting Space’ button below to access the application page.
  • Fill out the form, click on “Submit” and an auto-reply mail will be sent to you acknowledging your application.
  • The WOC2014 Congress Secretariat will inform you of the room name and the details at the end of January 2014.

Note:

Each meeting requires its own meeting space request. If you plan to hold multiple meetings, please complete the application separately, for each meeting.

After assignment of the room

  • You must contract with the WOC2014 Congress Secretariat within three weeks of assignment. Otherwise your meeting is subject to cancellation. Food and beverage minimums and/or meeting room rental fees may apply.
  • You will work directly with the WOC2014 Congress Secretariat to set up billing and select menus.
  • If you cancel your meeting you may be liable for cancellation fees to the WOC2014 Congress Secretariat.
  • You are allowed one sign at the entrance of your meeting.
  • Make sure that your promotional materials do not imply that your meeting is endorsed by the WOC2014 or is related to the official program of the congress.

Meeting space administrative fees

6 people or fewer JPY10,000 for per hour
More than 6 people;
20 people or fewer
JPY30,000 for per hour
More than 20 people JPY60,000 for per hour

Notes:

  • The costs for set up, equipment, food and beverages, etc. will be charged separately from the administrative fees.
  • We will make every effort to accommodate your request, however, please understand that it may not be possible to accommodate your request in its entirety in terms of date/time due to the limited number of rooms.
  • All administrative fees are nonrefundable.
  • Payment accepted by credit card only.
  • Fees are nontransferable to other events.
  • A 10,000 yen change fee will be charged to change the date and/or time of a meeting after the application form has been submitted.
  • The congress secretariat will charge a 15% handling charge for all services.

Unofficial satellite symposia conducted during the congress are coordinated by commercial companies and are not affiliated with the official program of the WOC2014.
